Provide a comprehensive administrative support within the Herts NHS Account Promote good working relationships with all relevant parties Liaise with the management team and Central services to meet targets and dead lines for administration work Liaise and communicate directly with the Supervisors on a daily basis to ensure continuity of works by completing the required admin Work effectively, in a professional and timely manner

Duties

Deal with incoming enquiries in a professional and efficient manner, directing the issue to the appropriate member of the team where necessary.

Completion of stationary orders, Issue and Stock Control

Ownership of administration processes; from inputting, quotations, arranging sub-contractor orders to general admin and contract support functions, monitoring our processes are completed by all stakeholders. Liaising with our Clients, answering any queries. Coordinating Engineers and Clients as required to achieve the Installation plans

Excellent Administrators, who can problem solve, work to deadlines and have fantastic organisation skills

Liaise with Supervisors receiving, inputting and retaining completed time sheets for all operatives

Completion of time sheets, Engineers Reports and Expenses

Record sickness and attendance on a daily basis, provision of supporting documentation as required

Raise and issue Purchase Orders upon receipt of the appropriate authorised documentation, including revisions as and where appropriate

Receive and process supplier and sub-contract invoices.  Ensuring invoices are redistributed from the log, authorized by the appropriate member of the team, approved for payment on and filed in accordance with Inviron’s quality procedure

Liaise with suppliers and sub-contractors, as and when required

Generate reports, where required, to the appropriate parties

Making sure each invoice/document received is copied and filed in the relevant job file

To carry out any other duties and responsibilities, as reasonably required by the business
